MTN Field Guide Privacy Policy

Mountain Training Network is a registered d.b.a. of Capital City CPR LLC. This Privacy Policy explains how the MTN Field Guide mobile application handles information.

This policy applies specifically to the MTN Field Guide mobile application. Other Mountain Training Network websites, courses, forms, and services may have separate privacy practices.

Summary

MTN Field Guide is an offline-first wilderness-medicine reference, training-support, and documentation application.

The application:

• Does not require or provide a user account.

• Does not contain advertising or cross-app tracking.

• Does not include third-party analytics or crash-reporting SDKs.

• Does not maintain a patient-data backend.

• Does not automatically transmit SOAP notes, photographs, or location information to Mountain Training Network.

• Does not provide cloud synchronization or a patient archive.

• Does not record audio, perform speech recognition, or track location in the background.

SOAP Note Lite keeps one encrypted active draft on the user’s device. The user may optionally add one foreground GPS snapshot and one photograph.

Information Stored on the Device

MTN Field Guide may store the following information locally:

• Application settings and display preferences.

• One user-authored SOAP Note Lite draft.

• Incident date and time.

• Approximate age and clinically relevant demographics.

• Incident location and access notes.

• Subjective, objective, assessment, plan, disposition, and transfer-of-care notes.

• Vital signs and author initials.

• One optional GPS snapshot.

• One optional resized photograph and caption.

A GPS snapshot may contain latitude, longitude, altitude, estimated accuracy, and capture time.

The SOAP text, GPS snapshot, and photograph are stored together in an encrypted active-draft payload. There is no browsable patient archive or recovery copy maintained by Mountain Training Network.

Users should not enter patient information unless they are authorized to do so and their organization has approved the device, security, retention, export, and documentation workflow.

Information Collected by Mountain Training Network

MTN Field Guide does not automatically send SOAP notes, health information, photographs, location information, identifiers, or application-usage data to Mountain Training Network.

Mountain Training Network does not sell information processed by the application and does not use it for advertising or cross-app tracking.

If a user contacts Mountain Training Network by email or through a website, Mountain Training Network will receive the information the user chooses to provide through that separate communication. Users must not send patient-identifying or sensitive health information by email.

Apple, Google, device manufacturers, operating-system providers, or services selected by the user may process store, device, diagnostic, location, or sharing information under their own settings and privacy policies.

Location Permission

Location access is optional and user initiated.

MTN Field Guide requests foreground location permission only after the user selects Capture GPS in SOAP Note Lite. The application then captures one location snapshot for the active draft.

The application does not request background-location permission, continuously monitor location, or automatically capture location.

Users may deny location permission and continue entering a location description manually. GPS coordinates should be confirmed against an authoritative map or location source and should not be the sole basis for rescue coordination.

Camera and Photo Selection

Photographs are optional and user initiated.

• Camera permission is requested only after the user chooses Take photo.

• Photo selection begins only after the user chooses Choose photo and uses the operating system’s photo-selection interface.
   

The selected image is resized and converted to JPEG before being placed inside the encrypted draft. The application attempts to delete temporary imported image files after processing. An original image selected from the user’s photo library remains under the user’s control.

Users should photograph patients, injuries, or scenes only with appropriate consent and authority. Unnecessary faces, identification documents, and unrelated surroundings should not be included.

 

PDF Export and Sharing

The user may generate a PDF and open the device’s native share interface.

The application creates the PDF using a random, non-content-based filename and deletes its temporary copy after the share operation returns or fails.

 

Once the user selects a destination, that destination may copy, upload, synchronize, back up, retain, or disclose the PDF. MTN Field Guide cannot control or delete copies retained outside the application.

Users are responsible for selecting an authorized and appropriately secure destination.

Retention and Deletion

The encrypted active draft remains on the device until the user:

• Permanently deletes it within MTN Field Guide.

• Clears the application’s data.

• Removes the application or otherwise erases its local storage.

Deleting the draft removes its encrypted payload, including the locally stored photograph and GPS snapshot, and removes its local key material.

Deleting the draft does not delete:

• PDFs or other copies previously exported or shared.

• The original photograph in the user’s photo library.

• Copies retained by a selected sharing destination.

• Operating-system snapshots or backups outside the application’s control.

Mountain Training Network cannot recover a deleted or unavailable draft.

 

Security

MTN Field Guide uses device-local encryption and platform security features to protect the active SOAP draft. A persisted draft may require device authentication before it can be reopened.

No device or application can be guaranteed completely secure. Users should:

• Protect the device with a strong passcode or biometric lock.

• Keep the operating system current.

• Avoid rooted or jailbroken devices.

• Follow organizational privacy and security requirements.

• Use an authorized record system for the official medical record.

Malicious keyboards, screen capture, operating-system compromise, device backups, and external sharing destinations are outside the application’s protections.

 

Medical and Documentation Disclaimer

MTN Field Guide is intended for education, training support, field reference, and user-authored documentation support.

It is not a medical device and does not diagnose, treat, cure, or prevent any medical condition. It does not provide medical advice, prescribe treatment, calculate medication doses, dispatch emergency services, or replace formal training, emergency services, professional medical care, local protocols, medical direction, licensure, scope of practice, or applicable law.

SOAP Note Lite is not represented as a complete electronic medical record or hosted medical-record service. Users and their organizations are responsible for determining whether the device and workflow meet their legal, privacy, security, documentation, and retention obligations.

 

Children’s Privacy

MTN Field Guide is intended for trained responders, outdoor professionals, instructors, students, and appropriately supervised learners. It is not directed to children under 13.

Mountain Training Network does not knowingly collect personal information from children through the application.

 

Privacy Requests

Because MTN Field Guide does not maintain an application account or patient-data backend, Mountain Training Network generally cannot access, retrieve, correct, or delete information stored inside a user’s local SOAP draft.

Mountain Training Network may update this Privacy Policy when the application, legal requirements, or privacy practices change.

The effective date at the top of this page will be updated when changes are published. Material application changes—particularly the addition of accounts, analytics, cloud storage, backend services, or expanded media or location features—will require a new privacy review.
